Furniture + Fixture Logistics Coordinator
We’re seeking a Furniture, Fixture and Equipment Procurement Coordinator to join our Interior Design Studio. The ideal candidate is extremely organized, can juggle a lot at once, is proactive and has excellent communication skills. This position requires strong multi-tasking skills for both internal and external project coordination + management of multiple projects simultaneously, so the ability to handle pressure, stay organized, and prioritize is important. Candidates should also have a strong sense of self-accountability, high attention to detail, and sound judgment. In a nutshell the Logistics Coordinator works with the design team and handles all ordering, tracking, receiving and quality control of all project furniture pieces, fixtures and equipment. They communicate closely with all of our trade vendors to ensure everything arrives correctly and on time. They are responsible for receiving product and delivering it to our warehouse where it is stored and organized as per TLS standards. They log and track what has gone out to projects to be installed. Lastly, they ensure all shipping and freight costs are accounted for and billed out to the correct project.
Qualifications + Experience
1-2 years of experience in the same or similar position is an asset
Warehouse experience and warehouse organization experience is an asset
Strong computer skills (you would primary be using Google Business Suite, IVY Software, and Xero)
Strong management and communication skills - as this position requires lots of planning, problem solving and decision making
Positive attitude - in the world of ordering and delivering lots can go wrong so it’s important to have a positive outlook and navigate through problems that often arise
Keen attention to detail
Ability to work independently with little supervision
Reliable and punctual
What You'll Do
What does a day in the life of a Logistics and Tracking Coordinator at TLS look like? You will be responsible for:
Process purchase orders issued by the design team
Compare vendor invoices to design PO before placing orders
Organize, manage and save all order confirmations, invoices, sales orders, and receipts as per TLS standards
Track payment types, deposits and work with TLS administration to coordinate when clients need to payout balances
Real time tracking of all product with continuous follow up
Coordinate regularly with design team how everything is moving along
Manage procurement strategies and schedules
Manage FF&E transit times to meet installation schedules and update the lead designer to inform of any delays or issues
Check all product to ensure there is the correct quantity, its the correct finish and nothing is damaged
Label all product as per TLS standards
Transport to warehouse (if necessary) using TLS vehicle (sprinter van)
Keep warehouse organized by project and project timeline
Update IVY software as per TLS standards
Work with the design team to coordinate project installation requirements (movers, cleaners, installers ect.)
Studio administration duties include:
Managing recycling removal when packages get receive
Assisting administrative team with Friday lunches
Assisting with keeping the studio tidy
Keeping the plants alive (no pressure)
Procuring studio supplies when running low (paper, pens, water, ink, coffee etc.)
